What is a System?

A system is simply a repeatable process that produces a consistent, high-quality outcome every time.

Take McDonald's, for example. Their burgers are made the exact same way every time, ensuring scalability and efficiency. The same applies to Starbucks, Amazon, and any other high-performance business.

If your business lacks systems, you’ll struggle with:

Inconsistent results
Bottlenecks that slow down growth
Burnout from constantly firefighting issues

But if you implement strong systems, you’ll experience:

Scalability – You can grow without everything relying on you
Efficiency – Tasks are completed faster and with less effort
Predictability – You know what to expect and can improve processes over time

The foundation of a system lies in three core stages:

1️⃣ Trigger – What starts the process? (e.g., a customer order, an email inquiry, a scheduled report)
2️⃣ Process – The step-by-step actions taken to complete the task
3️⃣ Outcome – The final result that should be consistently achieved

Everything in your business operates within this framework.

Adopt the Identity of a "Master of Systems"

Before we talk about implementing systems, you need to adopt the mindset of a systems thinker.

Instead of just "doing tasks," start seeing your business as a machine made up of different moving parts.

🔍 Imagine you had X-ray vision and could see your business in detail. Instead of just saying, "I run an Amazon FBA business," you should see:

  • Your product sourcing system
  • Your inventory management system
  • Your customer service system
  • Your marketing system
  • Your financial tracking system

If any of these components are weak or broken, your business suffers.

How to Optimise Your Systems for Maximum Efficiency

If you want to scale your business, you need to optimise your systems. Here’s a step-by-step process to do that:

Step 1: Identify What’s Not Working

Start by analysing your business. Ask yourself:

✅ What tasks waste the most time?
✅ Where do errors or delays happen most often?
✅ What’s stopping us from scaling faster?

Example: If you’re manually tracking inventory and keep running out of stock, you need to improve your inventory management system.

Step 2: Eliminate, Simplify, Automate, Delegate

For every task, run it through this framework:

✔️ Eliminate – Can we remove this task completely? (Many things we do are unnecessary!)
✔️ Simplify – Can we make this task faster or easier?
✔️ Automate – Can a tool or AI do this task instead of a human?
✔️ Delegate – Can we hire someone to take this over?

💡 Example: Instead of manually sending customer emails, use an email automation tool to trigger responses based on customer actions.

Teams & delegation so you don’t have to manage everything
Standard Operating Procedures (SOPs) so tasks can be done without you

This is how companies like Amazon, Tesla, and McDonald's scale to billions in revenuesystems do the work, not people alone.
