The first step is to visualize your business. Whether you're a pen-and-whiteboard kind of person or prefer mapping it out digitally, the goal is to break down your business into its key system stages.
Think of your business like a car—it might look smooth and seamless on the outside, but under the hood, there are dozens of components working together to make it run.
If you have an Amazon FBA business, a wholesale model, or run on platforms like Shopify or eBay, some common system stages might include:
Sourcing suppliers
Product research
Purchasing decisions
Fulfillment and prep
Shipping and logistics
Repricing and stock management
Financial tracking
HR or team communications
Sales and marketing
Mapping out each of these core functions gives you a bird's-eye view of your operations.
Now that you’ve visualised your business systems, it’s time to measure how much time each area takes.
Over the next 1–2 weeks, begin tracking where your time (or your team’s time) is going. You might find that:
Admin tasks take 10 hours a week
Operations consume 15+ hours
Repricing or customer service eats into your evenings
Marketing or content creation takes longer than expected
Once you've got these figures, create a priority list based on the time commitment. The areas eating up the most hours go to the top—that's where AI can have the biggest impact.
With your priority list in hand, begin researching AI tools that can support or automate those high-time, repetitive tasks.
Here are a few ideas to get you started:
Admin & Calendar Tasks: Use tools like Motion or Reclaim to automate scheduling and task planning.
Email & Communication: Try AI writing tools like ChatGPT or Copy.ai to draft responses, newsletters, or reports.
Accounting: Tools like QuickBooks with AI integrations can reduce bookkeeping hours.
Sourcing & Research: Leverage AI for lead generation, profitability analysis, and supplier outreach.
Design & Marketing: Use platforms like Canva with AI-powered design, or generate social content using AI prompts.
Operations: Tools like Operator from OpenAI allow you to automate browser tasks and take real action based on prompts.
The goal here isn’t to replace humans—but to free up valuable time, reduce errors, and allow your team (or you!) to focus on high-impact growth tasks.
As we’ve seen throughout history—whether it was the rise of the internet, social media, or mobile tech—the businesses that adapt early win big.
There’s a great saying: "Winners anticipate, losers react."
